Overview
On Request classifies a "component not directly bookable. The supplier needs to be contacted first to check availability and get a confirmation. This usually takes 2 to 3 working days. If the component is available, it will immediately be a definite reservation."
An itinerary is considered On Request if it contains at least one On Request component.
Product types defined in Inventory can be set up to be on request. These can be set up to always be available on request or only to have specific allotments that are on request.
Set up a component to always be available On Request
When a specific component needs to be manually requested, booked or confirmed at all times, it can be set up to always be available on request. For this use case:
- Go to Inventory.
- Select the intended product type under the Products drop-down.
- Create a new product OR select an existing one and click on Checkout & Open.
- Click on the Summary tab.
In the Summary tab, you can find the Available On Request toggle option, which you can enable or disable. If enabled, this makes the component always available on request.
Set up On Request Allotments
You can set up specific on request allotments for certain product types that work with allotments and have specific dates, room categories, or room units that need to be manually requested, booked, or confirmed.
1. Go to Inventory.
2. Select the intended product type under the Products drop-down.
3. Create a new product OR select an existing one and click on Checkout & Open.
4. Click on Allotments.
5. The Allotments pop-up is presented.
6. If the intended room category already exists in Room Categories, click + Add Allotment. Otherwise, click on + Add room category and select a previously created room category.
Please note: For explanation purposes, let us consider that two room categories have been previously created and are presented as depicted below after clicking on + Add room category. In the following scenario, the user clicked Add on Superior Single Room. |
7. For the room category Superior Single Room click on + Add Allotment.
8. Select a value for the Type of rule drop-down (from the available options of Single Day, Multiple Days or Series).
9. As the modal expands, the Overbook and Units field that can be configured as either:
- No: There will be no on request room units, so this should be the value if only configuring regular allotments.
- Yes: On request room units will be available for sale once regular room units are sold off.
10. If Yes is selected, the # units field will optionally be available. If no units are defined, then TripBuilder allows an unlimited number of on request units for the particular allotment. Otherwise, the number of units indicated will be the number of on request units that can be requested. When this value is reached, the Component + Room Category pair will no longer be available.
11. Click on Save.
12. According to the Type of Rule and the date range defined with From and To, a new allotment row is created for each day in the range.
