Overview

For group tours, it's possible to configure multiple base services, where exclusively only one is selected as part of an itinerary. The selection of one product or service can change according to each departure date and group size configuration.

Creating a Group Base Service

In the creation phase of a group tour, travel product managers don't know, before departure, what will be the final composition and group size. So, depending on the size of the group and the nature of the destination, it's relevant to configure the itinerary in a flexible way that allows multiple products to represent the same service, such as transportation or guide services.

The Group Base Service feature makes it possible to load one or more transportation options that are dynamically selected and can change for different periods according to the expected/actual group size. That will, in turn, determine the actual price for each departure date. To add a Group Base Service: 

1. Go to Inventory.
2.  If you want to add a Group Base Service to a template:
   • In Templates, select the intended template (click on the template Name link) or create a new one (click on the Create Template button)
3. If you want to add a Group Base Service to a module:
   • Click on the Package Builder drop-down at the top of the screen 
   • Click on Modules
   • In Modules, select the intended module (click on the template Name link) or create a new one (click on the Create Module button)
4. If you're editing an existing template or module:
   • Click the three dots icon at the screen's top right side
   • Click on Checkout & Open
5. Click on the tab Base Services & Rental Cars.
6. In the Base Services section, press Click here to add a Base service.
7. A modal presents a list of published Base Services. Start by selecting one Base Service.
8. You can add more Base Service Products from the list of Base Services. Select another one.
9. After choosing the sub-set from the available base Services, click Next to configure the Base Service Group.
10. First, add a name to the group of Base Services.
11. Select the assignment for your Base Service products, depending on the combination of unit rates of Base Services in the group.
12. Select the configuration option Prevent users from changing the service category during the Checkout if you want the Base Service edition to be disabled in the checkout.
13. Click Save.

In the list of Base Services, you can see the details of your Group Base Services.

The Service Category is set as Optional because this will depend on the group departure date and itinerary instantiation conditions, such as product availability and group departure calculation pax. Going directly to each base service product detail page from this area is also possible.

At any time, it's also possible to edit the group base services and assignment details by pressing the edit button (“pencil” button) or even delete the Group Base Service entirely (“trash” button).

In the Module or Template base Services area, adding more Base services products, individually or contained within a group, for example, adding a guide (individual Base Service), is still possible.

Planning a Trip

In Discovery, when planning a group trip with multiple departure dates and a Group Base Service associated with the template, we can have a different selection of Base Service products upon template instantiation, depending on the calculation pax per departure date, product availability and rates.

As presented in the example below, a different calculation of pax per departure date may result in a different transportation selection.

6 PAX:  Van up to 7 PAX

20 PAX: Bus up to 24 PAX

Customer Care

The details of the chosen Base Service product can be seen in Customer Care in the Services and Price list. Considering that the template is of group tour type, then it takes into consideration the Calculation Pax number for the calculation and display of the net and sales price in Itinerary details, for example:

• Calculation pax of 21
• Base Service Product: Bus (30-seater) with Net rate: EUR 300
• Base Service in Itinerary: net rate: 300/21 * 2PAX
