Overview
Planner Copilot is an advanced AI tool developed by Nezasa to help users plan trips efficiently. This AI-powered solution helps users create bookable itineraries by providing expert travel suggestions based on natural language input. It simplifies the trip creation process by allowing users to design detailed itineraries without the need for strict commands or rules, making travel planning faster and more intuitive.
Important: The Planner Copilot is generally available as a paid add-on. Please contact our Support team or your Customer Success Manager to request and configure it. The feature can be enabled for all your users, just your B2B users (travel agents and employee users) or just for your employee users. |

Use Cases
Generative AI applications like Planner Copilot offer many possibilities, limited only by your imagination. Here are a few examples:
1. You know what you want: Quickly enter your desired itinerary, e.g., "2 days New York, 3 days Miami, start Nov 1, 2 adults, 1 child"
2. Replicate a trip: If you have an itinerary description from a newspaper or website, copy and paste it into Planner Copilot.
3. Follow a suggestion: For a quick start, the AI provides some questions/command examples (i.e. "user prompts"), where you can start interacting with the AI with a click of a button.
4. Be explorative: Let the AI suggest trip ideas. You don’t have to specify a destination. For example, ask, "Propose a trip with great scenic views, a lot of nature, around two weeks, and if possible, in a destination I can reach with a five-hour flight from central Europe."

How It Works
Planner Copilot leverages OpenAI's latest generative AI models (i.e., a Large Language Model - LLM) and TripBuilder's powerful Itinerary API to create bookable itineraries from AI suggestions.
1. The user selects an AI suggestion to start interacting with the AI, or the user provides a prompt with a question or command.
2. TripBuilder refines the prompt and sends it to the AI.
3. TripBuilder receives and pre-processes the AI's response.
4. TripBuilder streams the response to the user's browser with a dynamically generated itinerary preview in the sidebar.
These steps describe the base interaction between the user, TripBuilder, and the AI services and can be repeated as needed for refinement purposes. Once satisfied with the itinerary suggestion, the user can proceed by clicking "Next," selecting the start date and room preferences, and triggering TripBuilder to create a bookable itinerary.
General Usage Remarks
Scope and Process of Interaction
The AI chatbot allows users to refine their itineraries through an iterative process. Prompts can be adjusted with each interaction, and Planner Copilot updates its suggestions based on new input.
Context is maintained during active conversations, even when navigating back from subsequent steps but is lost when the conversation window is closed. To continue later, users should ask the AI for a summary and save it for reference.
Multi-language Support
Planner Copilot supports multiple languages for user interaction. The localisation of the TripBuilder user interface follows standard practice, with a language drop-down available for selection. The AI chatbot will respond in the language in which the user initiates the conversation, ensuring seamless and personalised responses.
Speech-to-Text Support

Planner Copilot allows voice input. The feature processes voice audio using your browser's default speech recognition service:
- Chrome/Edge use Google's speech recognition service.
- Safari uses Apple's speech recognition service.
- Firefox employs a different service depending on the user's locale.
If speech recognition is disabled in your browser settings, the microphone icon will not appear in the Copilot interface.

Image Support
Planner Copilot supports image files as part of user input, allowing the interaction with the AI together with text, providing a versatile experience. As the saying goes, "a picture is worth a thousand words"!

Embedding Planner Copilot into your website
The Planner Copilot chatbot is hosted on a standalone page at /planner-copilot. You can link to it directly from your website or email. You can also pass the initial prompt via the URL parameter. For example, to set the "design a 2 week Italy trip" prompt, use the link format:

Configuration Options
Planner Copilot configuration options are available per distribution channel and can be found in the "Discovery" tab.
Setting | Description |
Enabled | Determines if the feature is enabled and for which user groups. Options: Enabled for all users, Enabled for travel agents and employees, Enabled for employees only or Disabled. |
Restrict to these destination countries |
When defined, the copilot will only propose trips to and within these destinations. Default value: no restriction |
Exclude these destination countries |
When defined, the copilot will not propose trips to or within these destinations. This setting is ignored if a restriction to specific destination countries is defined. Default value: no restriction |
Hotel suggestions |
If enabled, the copilot will only suggest hotels from the tour operator’s supply. Content rules for inventory supply will be applied, possibly impacting the copilot's suggestions. If disabled, the AI may suggest any hotel known to the AI. Please note that, in any case, live availability checks will take place when the suggestion is converted to a bookable itinerary. Hotels not available in the tour operator’s supply will be removed at that point. Known limitation: Hotel supply from the Connect APIs is not yet used for suggestions. Default value: disabled |
Suggest transportation |
If enabled, the copilot will suggest the best means of transport between stops. The user can tell the AI to adjust the means of transport further. The suggested transport is then used when creating the bookable itinerary (instead of the default values). Default value: disabled |
Suggest activities (Beta) |
If enabled, the copilot will suggest activities fitting to a stop. Please note that the feature only suggests single-day activities from the TripBuilder inventory. External suppliers like Musement or Hotelbeds are not supported. Default value: disabled |
Speech-to-text (Beta) |
If enabled, the copilot lets users speak their prompt instead of typing. The feature uses the user browser's default speech recognition service. Default value: disabled |
Usage of the External OpenAI Platform
While using Planner Copilot, only user-entered messages are shared with the OpenAI platform to process responses. No personally identifiable information (PII) is shared, ensuring privacy and security. Additional information, such as product names and descriptions, may be shared in future updates, but sensitive customer data will always remain protected. OpenAI does not use any data for model training, ensuring that all interactions remain private.
Data Security
Nezasa uses OpenAI's API Platform with its API keys. The API Platform guarantees the following (quotes from the OpenAI Enterprise Privacy Terms):

- We do not train on your business data
- After 30 days, API inputs and outputs are removed from our systems.
- You own your inputs and outputs.

- Enterprise level authentication through SAML SSO
- We’ve been audited for SOC 2 compliance
- Data encryption at rest (AES-256) and in transit (TLS 1.2+)
Costs
The third-party AI service's costs are included in the subscription fee of the Planner Copilot add-on.

Which LLM is used by Planner Copilot?
We currently use GPT-4o of OpenAI. However, as the LLM space is moving fast, we are constantly monitoring what are alternative options and might thus adjust the leveraged model when it makes sense.
