Overview
Promo code is short for Promotion Code, which TOs, TAs and B2C users can use to apply a discount to an itinerary. A promo code can be added to an itinerary during Checkout or in the Customer Care Overview area.

How to create a promo code?
To create a promo code, make sure you have the following information available:
- Promo code
- Title of the promotion
- Information on the discount type (percentage or absolute) and value
- The promo code's conditions, minimum sales price, maximum number of redemptions, and validity
Please note: A promo code applies to a whole booking and all PAX present in it. |
Steps to create a promo code
1. Go to Customer Care
2. Click on Promo Codes
3. Click on Create Promo Code
4. Enter the Promo Code name or click the Generate Code button to create a system-generated code
- Self-defined codes can be used for a specific promotion occasion.
Example: "Summer10", "FlyHigh20" - If no specific code is needed and/or required, create a random code by clicking on Generate Code. A computer-generated code is inserted into the field.
Example: W5437LPZ
5. Enter the Title of the promotion
- Add a descriptive title for the promotion. The title is only visible in Customer Care and can be used to sort the promo codes. Titles cannot be used to redeem a discount. For that, you have to use the code itself.
6. Choose between one of the two discount types: Percentage or Absolute
- Insert the value of the discount in percentage or as an absolute value. In the Absolute use case, a dropdown of supported customer currencies is presented.
7. Click Save to open the complete promo code definition form
In addition to the promo code information, the Conditions and Events sections are displayed on the promo code form after saving.
Conditions Section
The Conditions section comprises the following fields:
- Text "Conditions"
- Textual conditions must be met for the promo code to be valid. This information is displayed during the checkout process.
- Min. Sales Price
- A minimum sales price that can never be overpassed regardless of the percentage or absolute discount defined.
- Max. Number of Redemptions
- The maximum number of times the same promo code can be redeemed. The default number is set to ten but can be freely changed. If not defined, a single redemption will be considered.
- The promo code's validity period is defined by the Promo Start Date and Promo End Date. The promo code will only be valid within this period and not immediately after publication.
Please note: After publishing a promo code, you can change the Promo Start Date and Promo End Date fields. Example use cases:
As the granularity for both fields is at the time level, the field Time Zone can also be changed. By default, this will be the Customer Care user's time zone at promo code creation, inferred from the browser's information. |
- Trip takes place between
- Defines the time frame for itineraries during which the promo code is valid. This time frame may overlap entirely or partially with the values defined in Promo Start Date and Promo End Date.
- Distribution Channel
- Defines the promo code applicability to specific distribution channel(s). If left empty, it will be applied to all.
- Agency
- Defines the promo code applicability to a specific agency(ies). If left empty, it will be applied to all.
- Promo Destination
- Defines the promo code applicability to a specific country(ies). If left empty, it will be applied to all.
- Templates
- Defines the promo code applicability to a specific template(s). If left empty, it will be applied to all.
Events Section
This section displays the promo code's history after its publication. For example:
- Promotion Published
- The date and time the promo code was published.
- Promotion Redeemed
- The date and time the promo code was redeemed, plus the associated itinerary ID for which the promo code was used.
- Promotion Deleted
- The date and time the promo code was deleted.
Publishing
For a promo code to be used, it must be published first. Only published promo codes can be redeemed at the checkout. To publish a promo code, click on Publish in the action menu:

Using Promo Codes
Promo codes can be applied to an itinerary, either in the customer care section or during the checkout process in Planner.
Customer Care
Any Customer Care user can add a promo code with the following steps:
1. Go to Cockpit
2. Click on Customer Care
3. Click on the Itinerary ID to which you want to add a promo code to open the Overview page
4. Click on the Actions button on the right-hand side and choose Add Promo Code from the drop-down list
Please note: Promo codes can only be added to an itinerary while in the "In Planning" state. |
5. Enter a published promo code in the pop-up window and click OK
The promo code is now validated and, if successful, added to the itinerary. The discounted amount will only be displayed under the Services & Price List page.
Please note: While a promo code could also be considered a discount to the itinerary sales price, the term discount is used in TripBuilder only from the perspective of a manual price correction applied via booking change. Both promo codes (multiple) and discounts (single) can be applied to the same itinerary. Please check the How to Apply a Price Increase or Discount? article for additional discount information. |
To remove a promo code from an itinerary, click on Actions and choose Remove Promo Code.
Checkout Process
Any user with a valid published promo code can add the code during checkout in the respective text field. The code can be added to the Enter Promo Code field in the Payment step.
After successful validation:
- The discounted amount will be displayed beneath the subtotal
- The discount is deducted from the subtotal, resulting in a new total price
- The text entered under Conditions is displayed beneath the total price
Suppose the promo code entered in Checkout doesn't apply to the itinerary (for example, due to a restriction to a specific country or template). In that case, an error message indicates which conditions weren't met.
Example: "This code cannot be redeemed. The itinerary doesn't fulfil all conditions. The promo code is not valid for the destination of this itinerary. Conditions: Promo code will only apply to the Andalusia template".
Post-booking Changes
When a promo code based on a percentage is applied to a booking, it will be dynamically (and automatically) recalculated on any post-booking change that results in a sales price update. This way, the discount value always maintains proportionally to the updated sales price.
This update does not apply to absolute value promo codes, which, by design, remain unaffected by post-booking changes.
